Simple Method - Email Templates

To generate an email using Email Templates, you first need to install the templates via the CRM Marketplace.

1. Marketplace Installation

To install the email templates from CRM marketplace, follow the steps below:

2. Using Email Templates

To start using email templates, follow these steps:

Fill in Recipients & Email Subject

  1. Select the recipient(s) of the email. You can choose individual clients, client groups, client tiers, or individual leads.

  • Modern

  • Geometric

  • Minimalist

  • Vivid

  • Formal

  • You will be redirected to the template details page with more information.

  • Click "Install" again to install the template.

  • Enter the email subject.

    Apply Email Template

    1. Select your preferred email design template and click onto it.

    2. The template will immediately be applied to your email content.

    3. Amend the email content as needed.

    4. If you have existing email content, a popup will appear when you select a template to inform you that applying the template will clear all current email content. Click "Confirm" to proceed.

    5. The same notification will appear if you change email templates, so it is recommended to select your desired template before configuring the email content.

    6. You can also remove the template by clicking "Remove Template". Doing so will clear all email content associated with the template.

    7. The selected email design template may not display correctly with some email providers. It is recommended to test the email before sending it to clients to ensure proper formatting and appearance.

    Send Email

    1. Click "Preview" to review the email.

    2. Click "Save as draft" to save the email and send it later.

    3. Click "Send" to deliver the email.

    4. The email will be recorded, and you will be able to see its status accordingly.

    Application - Viewing Notices on Client Portal

    1. Clients will see published notices displayed at the top or bottom of the portal, based on your configured default position.

    2. Notices remain visible across all pages within the Client Portal, ensuring consistent visibility regardless of where clients navigate.

    3. If a notice message exceeds the banner length, it will be truncated with a “...” at the end.

    4. Clients can click on the banner to open and view the full message in a larger format.

    5. When multiple notices are published, the system will automatically rotate between them every 10 seconds.

    6. Clients can also manually navigate between notices by clicking the left and right arrows on the banner.

    7. At the bottom of the banner, navigation dots indicate the number of published notices and help users track which notice they’re currently viewing.

    Email Notifications

    1. Overview

    You can access a comprehensive view of all email notifications sent to clients. For each notification, the following details are available:

    • Recipient: Identifies the specific client(s) who received the email.

    • Subject: Shows the email’s subject line, providing a brief summary of its content.

    • Sender: Displays the email address from which the notification was sent.

    • Status: Indicates the current status of the email notification (e.g., sent, pending).

    • Create Time: Timestamp of when the email notification was created.

    • Creator: The user who created the email notification.

    • Send Time: Timestamp of when the email was actually sent to the recipient(s).

  • View Own Data: Shows only emails you created.

  • Direct Downlines: Displays emails created by your direct team members.

  • All Downlines: Displays emails created by both your direct and indirect team members.

  • Same Role: Shows emails created by other backoffice users with the same role as you.

  • Company Wide: Shows emails created by any member of the company.

  • To apply a filter, select the desired option from the dropdown list.

  • Delivery Failed: Emails that could not be delivered.

  • Partial Delivery Failed: Emails sent but only partially delivered, with failures to some recipients.

  • Sending: Emails that are currently in progress of being sent.

  • Successful Delivery: Emails that were successfully delivered to all recipients.

  • To filter by status, select the desired option from the dropdown list.

  • Select the emails you want to delete and click "Delete" icon.

  • A confirmation popup will appear. Click "Confirm" to proceed.

  • The selected email records will then be deleted.

  • You can only edit email drafts created by you.

  • For drafts not created by you, the "Edit" icon will not be available.

  • Make changes to the content and click "Send" when ready. For more details, see this section: Send Email Notifications

  • The Duplicate function is not available for draft emails; the icon will not be shown for drafts.

  • After duplicating, you can amend the email content before clicking "Send". For more details on composing email content, see this section: Send Email Notifications

  • Role Management

    11. Notify

    The Notify module lets you keep your clients informed in three ways: email notifications, pop-up notifications, and Notices on the client portal. You can navigate and manage all three directly from the side menu, making it easy to provide timely updates and important information to your clients.

    Simple Method - Manual Entry

    To generate an email using the Simple Method - Manual Entry way, follow the steps below:

    1. Select the recipient(s) of the email. You can choose individual clients, client groups, client tiers, or individual leads.

    2. Enter the email subject.

    3. Enter the email content and format it as needed using the top toolbar.

    4. Click "Preview" to review the email.

    5. Click "Save as draft" to save the email and send it later.

    6. Click "Send" to deliver the email.

    7. The email will be recorded, and you will be able to see its status accordingly.

    Simple Method - HTML Code

    To generate an email using the HTML Code method, follow these steps:

    1. Select the recipient(s). You can choose individual clients, client groups, client tiers, or individual leads.

    2. Enter the email subject.

    Click the "HTML Code" icon.
  • Paste or write your HTML code in the editor.

  • Click "Preview" to review how the email will look.

  • Click "Save as draft" to save the email and send it later.

    • Drag Heading into your content.

    • Add your text and configure the format.

    Text

    • Add text blocks by dragging them into the content area.

    • Add your text and configure the format.

    Image

    • Add images to enhance visual appeal.

    • Upload your image and configure the format.

    Buttons

    • Create clickable call-to-actions.

    • Drag in a button.

    • Input the button text and add the target URL.

    Dividers

    • Separate content sections for easier navigation.

    • Format the divider.

    HTML

    • Add custom HTML for advanced formatting and styling.

    • Fill in the HTML code and configure the formatting.

    Menu

    • Add interactive elements for actions such as visiting a URL, emailing, or calling.

    • Drag the menu into content.

    • Configure actions and format.

    Social

    • Allows you to include your social media links in the email.

    • Drag and drop the Social element into your content.

    • Configure the links and display format for each social media platform.

    Forms

    • Allows you to add a form directly into your email for clients to fill out.

    • Drag and drop the Form element into your content.

    • Configure the form questions and adjust the formatting as needed.

    Simple Method - HTML Code

    To generate a pop-up notification using the HTML Code method, follow these steps:

    1. Select the recipient(s). You can choose individual clients, client groups or client tiers.

    2. Enter the title.

    3. Click the "HTML Code" icon.

    4. Paste or write your HTML code in the editor.

    5. Click "Preview" to review how the notification will look.

    6. Click "Save as draft" to save the notification and send it later.

    7. Click "Send" to send the pop-up notification.

    8. The pop-up notification will be recorded, and you will be able to see its status accordingly.

    Historical Data

    You can view past email notification records by clicking "Historical Data".

    Historical email notifications will be displayed, and you can:

    Notices

    Notices is a powerful tool that makes it easier to deliver important updates, announcements, and alerts directly within the Client Portal.

    Whether it’s a planned system maintenance, regulatory update, or time-limited promotion, Notices ensure your message is seen by the right clients at the right time—reducing reliance on emails or external channels.

    Fully customizable in appearance, language, recipients, and display duration, this feature gives you precise control over client-facing communication.

    Send Pop-Up Notifications

    To send out a new pop-up notification, click "Create Popup".

    You have several methods available to draft your pop-up content:

    1. Manual Entry – Manually input your content and send it to clients without specific design elements.

    2. HTML Code – Create and design your pop-up notification using HTML code for greater customization and visual appeal.

    3. Advanced AI Editor – Leverage the AI-powered editor to generate content. This tool provides suggestions, optimizes language, and helps you create compelling and effective communication.

    2. Click the “Revoke” icon.

    3. Only notifications with the status “Sent” can be revoked.

    4. A confirmation message will appear, informing you that revoking will delete the notification from your clients’ view. Click “Confirm” to proceed.

    2. This function is applicable to pop-up notifications with the "Sent" or "Revoke" status only.

    3. Revocation Policies

    1. Pop-up notifications can only be reversed within 2 hours after it is sent out.

    2. Reversed notifications can be previewed, duplicated or deleted.

    Select Default Notice Position

    You can set the default position where notices will appear on the Client Portal. Choose either Top or Bottom to best suit your communication needs.

    • Top: Notices will be displayed prominently at the top of the Client Portal screen, ensuring maximum visibility.

    • Bottom: Notices will appear at the bottom of the Client Portal, providing a less intrusive but still accessible location.

    3. Revocation Policies

    Permission Settings

    To start publishing Notices, the appropriate user permissions must be assigned:

    1. Read Notices – Grants view-only access to existing notices.

    2. Update Notices – Grants full access to create, edit, publish, and delete notices.

    Once these permissions are assigned, the "Notices" option will appear in the side menu under the "Notify" module, allowing you to manage client communications directly.

    By default, you will see the notices you have created. Use the dropdown menu to adjust your view to one of the following scopes:

    • Your Own Data – Notices created by you only.

    • Direct Downlines – Notices created by your direct downline users.

    • All Downlines – Notices created by all users in your downline hierarchy.

    Same Role – Notices created by users assigned the same Role as you.
  • Company Wide – Notices created by any user within the company.

  • Notice Operations

    You can perform the following actions to manage your notices efficiently:

    1. Locate the notice you want to view and click the "View" icon.

    2. You can see all details of the notice but cannot make edits in view mode.

    1. Locate the notice you want to edit and click the "Edit" icon.

    2. Make the necessary amendments to any fields.

    1. The "Publish" icon is available only for notices in Draft or Pending Update status.

    2. To publish a notice, simply click the "Publish" icon.

    1. The "Disable" icon is available only for notices that have been published.

    2. To disable a notice, simply click the "Disable" icon.

    1. You can duplicate an existing notice to reuse content or settings.

    2. Locate the notice you want to copy and click the "Copy" icon.

    1. You can delete any notice regardless of its status.

    2. Locate the notice you want to delete and click the "Delete" icon.

    Click "Save" to keep changes as a draft or "Publish" to update the notice status.

  • Notice Status Behavior on Edit:

    1. Editing a "Draft" Notice keeps it in "Draft" status.

    2. Editing a "Published" Notice changes its status to "Pending Update". You will need to publish it again for the changes to take effect.

    3. Editing a "Pending Update" Notice keeps it in "Pending Update" status.

    4. Notices with "Disabled" or "Expired" status cannot be edited. The "Edit" icon will not be visible for these notices.

  • You can have a maximum of 5 published notices simultaneously. If the limit is reached, attempting to publish another notice will trigger a notification warning.

  • To publish a new notice, please disable or delete an existing published notice first.

  • Once disabled, the notice will no longer be visible to clients, even if it is still within the scheduled display period.

  • To re-enable the notice, simply click the "Re-enable" icon. It re-enabled and within its valid display period, the notice will be shown again on the client portal.

  • A new draft notice with the copied content will be created. You will be redirected to the Edit Notice page to make any necessary changes.

    A confirmation popup will appear. Click "Confirm" to proceed with deletion.

    Advanced Method - AI Editor

    Create Notice

    To create a Notice, follow these steps:

    Add Notice

    1. Navigate to "Notify" > "Notices".

    2. Click "Add Notice" to begin creating a new entry.

    Configure Notice

    Configure the following:

    1. Title – Enter the main title of your notice.

    Save or Publish Your Notice

    Once complete, choose one of the following:

    1. Click "Save

  • Multi-Language Support – Click the "Language" icon to input content in multiple languages.

  • The available language fields will match those enabled for your Client Portal.

  • Content – Fill in the notice body. You may enter different versions for each enabled language. Note: Maximum 2,000 characters per language version.

  • Text Alignment – Choose between Left, Center, or Right alignment.

  • Font & Background Colour – Customise the appearance of the notice using your brand colours.

  • Client Groups – Select which client groups should see this notice, allowing for targeted delivery.

  • Time Settings – Set the Timezone, Start Date, and End Date for when the notice should be displayed.

    1. Start Date: You may only select today's date or a future date.

    2. End Date: Must be the same as or later than the Start Date.

  • " to keep the notice as a draft and return to it later.
  • Click "Publish" to confirm and schedule the notice for display. You can have a maximum of 5 published notices at any given time. If you reach this limit, you will need to delete an existing notice before publishing a new one.

  • Once you have saved or published your notice, it will appear in the Notices list where you can monitor and manage all entries. Each notice will display its current status:

    • Draft — The notice has been saved but not yet published or scheduled to show on the Client Portal.

    • Published — The notice has been confirmed for display and will appear on the Client Portal according to its scheduled start and end dates.
